The Role

Veeva Link builds connected data applications to improve research and patient outcomes, powered by a global network of freelancers.

As Hiring Operations Lead, you will develop a seamless hiring engine and lead a remote team of coordinators to turn recruitment into a smooth, end-to-end process.

Your mission is to design scalable workflows that prioritize speed and quality. By mastering capacity planning and operational metrics, you will ensure our research teams always have the talent they need.

What You’ll Do

Build Smart Workflows: You will overhaul our hiring operations by building more robust logic into our current spreadsheet environment. You’ll focus on creating automated, well-aligned workflows that solve operational bottlenecks through process design rather than the "crutch" of a traditional ATS. Standardize Hiring Excellence: You will set the gold standard for candidate quality and process integrity. This includes designing robust verification protocols, ensuring only high-caliber talent enters the training pipeline. Optimize Team Performance: As the owner of the hiring team's output, you will monitor critical metrics to identify performance gaps. You’ll lead calibration efforts to ensure Hiring Coordinators meet quality standards while executing projects that measurably improve recruitment speed and conversion rates. Model Scalable Capacity: You will design and manage the headcount model for our Hiring Coordinators. By tracking incoming request volumes, you will ensure the team is perfectly sized to meet global headcount demands without bottlenecks. Servant Leadership: Lead, mentor, and inspire a team of remote Hiring Coordinators. You will foster a culture of high performance by providing clarity on targets and ensuring constant alignment with project quality requirements. Risk & Compliance Management: Proactively identify pipeline risks and operational incidents ensuring they are escalated and resolved through recurring process audits.

Requirements

Data-First Mindset: 2+ years of experience in a fast-paced environment (Tech, Startup, Ops) with a proven track record of managing hiring processes. Process Mastery: You are a workflow specialist with deep experience in process design. You’re comfortable managing high-volume hiring targets and have the unique ability to build structured, scalable systems in environments that aren’t yet fully automated. Quality Oversight: Experience in leveraging team data to pinpoint quality gaps and recalibrating output to ensure consistent alignment with project standards. Global Communicator: Excellent English skills with a proven track record of cross-functional stakeholder management. You translate operational bottlenecks into clear solutions for Ops and Training stakeholders.

Nice to Have

Experience leading a recruitment team within a high-volume function. Experience building hiring pipelines for freelance and contingent talent.

Compensation

Total compensation: 35,000 - 50,000 EUR The total compensation range listed here has been provided to comply with local regulations and represents a potential total compensation range for this role. Please note that actual total compensation may vary within the range above or below, depending on experience and location. We look at compensation for each individual and base our offer on your unique qualifications, experience, and expected contributions. This position's total compensation may be composed of other types of compensation, such as variable bonus and/or stock bonus.
